How to create an availability schedule

You can save time by setting your common available times as an availability schedule and applying the same schedule to your different scheduling pages.

Last updated 1 month ago

When you signed up for Zeeg, you set your typical days and hours of availability during the onboarding wizard. Zeeg automatically created a "Working Hours" schedule for you, which it uses to determine when you're available to host meetings.

Availability schedules can be helpful in various scenarios, such as:

  • If you work multiple jobs with unique schedules, you can create separate availability schedules for each job in Zeeg and apply them to the corresponding scheduling pages.

  • If you have specific events or commitments that require limiting your availability, you can create an availability schedule that reflects those limitations.

  • If you have special events or periods where you want to offer extended availability, you can create an availability schedule that reflects that increased availability and apply it to the relevant scheduling pages.

  • If you offer a similar set of services but at different locations, it may be beneficial to have different availability schedules for each location.

Creating a new availability schedule

Click on + Create new schedule and then enter a name for your availability schedule.

You can view and edit your availability schedule in either List view or Calendar view:

  • Choose List view for recurring weekly availability.

  • Use Calendar view for date-specific availability.

Editing your availability schedule in List view

In the Weekly hours section, you can define your available hours for each weekday.

Adding multiple intervals allows you to accommodate breaks, such as lunch or gym time, throughout your workday. For example, you can create an 8:00-12:00 am interval and another 1:30-5:00 pm interval to block out time for lunch.

When a weekday has no available timespans, it automatically becomes unavailable.

Adding date overrides in List view

Using Date Overrides, you can customize your availability for specific dates, allowing you to:

  • Add additional hours to a day outside of your normal schedule

  • Edit existing hours on a specific date

  • Make yourself unavailable on a specific date

Using date overrides is useful for accommodating exceptions to your typical weekly schedule. For example, if you know you will be traveling on a particular date and will not be available to book appointments.

When you're done, click on Apply Override.

Remember that when you edit an availability schedule, all your scheduling pages that use that schedule will be updated with the new availability.

What is the Default availability schedule?

You can set the most frequently used schedule as default. This way, when creating a new scheduling page, the default availability schedule will be set for that scheduling page.

To set one of your existing schedules as default, click on Update an existing schedule. Choose the schedule you want to set as default from the drop-down menu. Then click on the gear sign on the right side of the drop-down menu. Choose the Set as default schedule option.

How to clone an availability schedule?

You can duplicate any existing schedules and create a new one based on that.

  1. Click on the Update an existing schedule.

  2. Choose the schedule that you want to copy from the drop-down menu.

  3. Click on the gear sign and click on Clone.

How to delete an availability schedule?

To delete one of the existing schedules:

  1. Click on the Updating an existing schedule button at the top of the page.

  2. Choose the schedule that you want to delete from the drop-down menu.

  3. Click the gear wheel sign and tap on the Delete button.

Any schedule that is already used for one or more scheduling pages cannot be currently deleted. Please first update those scheduling pages to use another schedule and then delete the availability schedule.

This procedure will be updated in the near future.

Deleting the Default schedule

To delete your Default schedule, you first need to assign another schedule as your default.

You can create a new availability schedule or edit existing ones from the page.

In the page, when creating or editing a schedule, select List view.

Click on in front of each weekday to add a new timespan. You can delete each timespan by clicking on in front of it.
